How to collect rent by M-Pesa and match every payment

A step-by-step guide for landlords and property managers: give each tenant a reference, record payments properly, and send receipts without retyping.

Most tenants in Kenya now pay rent by M-Pesa. That is easier than cash, but it brings a new job: working out who paid, for which month, and who still owes. This guide shows a simple way to keep that clear, whether you use a notebook, a spreadsheet or software.

Why M-Pesa rent gets messy

  • Many tenants pay into one Paybill, Till or phone number, so every payment looks alike.
  • Tenants type the wrong unit number, or none at all.
  • Some pay part of the rent, some pay two months at once, and some pay for a neighbour.
  • The M-Pesa message arrives on your phone, and it is easy to lose in a long list.

Step 1: give every tenant one fixed reference

Choose a short reference for each unit, such as the unit number (B4, 12A). If you collect through a Paybill, tell tenants to type that reference in the account number field every month. Put it on the lease and on the notice board so nobody has to guess.

Step 2: keep one record, in one place

Whatever you use, each payment needs the same few details:

DetailWhy you need it
M-Pesa transaction codeProves the payment and stops it being entered twice.
Date and amountShows whether the rent was on time and in full.
Unit and tenantSays who the money belongs to.
Month it coversKeeps arrears separate from this month's rent.
Balance after paymentTells you at a glance who still owes.

Step 3: match each payment the day it arrives

Do not wait for month end. Matching takes seconds when it is done daily, and takes hours when it is saved up. Use clear rules:

  • Exact amount, right reference: record it against that unit and month.
  • Less than the rent: record the part payment and show the balance still due.
  • More than the rent: record the rent, and carry the extra forward as credit.
  • Wrong or missing reference: do not guess. Hold it in a "to check" list and ask the tenant.

Step 4: send a receipt and a reminder

A receipt settles arguments before they start. Send one when the money arrives, with the amount, the month and the balance. Send a reminder a few days before rent is due and another when it is late. You can make receipts by hand with our free rent receipt maker.

Step 5: check arrears once a month

At month end, list every unit with a balance above zero. Contact those tenants the same day. Early, polite follow-up is much more effective than a big conversation three months later.

Where software helps. Steps 3 and 4 are the slow ones. Kodi Manager reads M-Pesa payments through Safaricom's Daraja service, matches each one to the tenant who paid, and sends the receipt by SMS. A payment it cannot match waits in a review queue, so nothing is lost or guessed.
